The Nurse Staffing BackOffice Solution comprises of a number of modules namely the Client module, the Employee module, the Job Oder module, Daily Time Record, and Billing & Payroll Module.
Client Module
This module requires you to key in all the applicable contact information of your client also specifying their preferred mode of payment and financial information.
Employee Module
This module can incorporate more data than the previous module. Along with maintaining the vital employee details, the Employee Module also allows you to keep a record of the employee’s skills in the nursing field. To make things simpler, you can also attach the resume and the photo ID of the employee with his/her record file. In order to satisfy the FCRA compliant background checks, this module also comprises of an instant background check sub-module which directly links you with our partnered site. This enables you to get the Instant FCRA Compliant background checks that automatically converts the attached personal record file of the employee into a PDF file. Finally, the Employee Module then identifies the availability of the employee and calculates the number of hours and days on which he/she would be able to work.
Job Order Module
The Job Order Module helps you manage and integrate all the job requests you receive via telephone, fax or emails. The data in this module comprises and integrated list of the Client ID, required number of nurses, total number of working hours/days, duration, reporting supervisor, the required special skills(if any), and the hourly pay package of the client and the employee.
It is then the NACSS looks at the final integrated data list and identifies the appropriate employees that meet the client needs. The employee’s status is marked as unavailable once their details are assigned in the Job Oder Module in order to avoid them from being included in the auto-matching process. After NACSS finds a suitable employee, his/her record file will be opened and an offer would be sent to him/her regarding the vacancy. If the employee accepts the offer, you mark the job order as filled. If they don’t accept the offered position, NACSS will look for the next candidate most suited for the job until the job order is filled.
Daily Time Record
The Daily Time Record allows you to maintain a record of your employee’s signed timesheet.
Billing & Payroll Module
After NACSS is content and pleased with the job order, it will automatically send the completed job order into the Billing module, where it sits until its maturity. Maturity is the time when the open invoices are billable. The billing period is set in the Client Module. This time period could vary from a net 15days to 30 or 45 days. The billing invoice is auto-generated once your job order matures. This is ready for your mailing. If you have authorised yourself for the auto-pay option with your client, NACSS can auto-print a bank draft for you. This can be deposited directly without you waiting for your client payment to arrive.
The payroll portion of this module allows you at anytime to get a printed record of the number of hours the employee has worked customising it from past week to date or past month to date. It also mechanically calculates the amount that needs to be paid to the employee per job order. The DTR can then be sent to a 3rd party payroll processing company such as ADP.
